Job Title: Marketing Admin Assistant
Department: Sales Operations / Administrative Support
Schedule: Full-Time (40 hours per week), including weekends
Reports To: Sales Support Manager / Admin Lead
Language Requirement: Bilingual – English and Spanish (written and spoken)
The Marketing Admin Assistant plays a critical role in supporting the operational functions of our sales, telemarketing, and appointment confirmation teams. This full-time position ensures the accurate flow of information, lead management, compliance tracking, and internal coordination across departments. The ideal candidate is organized, responsive, and proactive, with the ability to handle high-volume administrative tasks while maintaining a detail-oriented approach.
This position is based out of the Sales Office and White Building, depending on departmental needs.
Primary Responsibilities:
- Team Support & Coordination
Serve as a key support resource for telemarketing, sales, and confirmation teams by:
- Assigning leads in accordance with established protocols
- Generating, reviewing, and organizing reports
- Tracking compliance and production metrics
- Responding to internal team requests related to system usage and operational flow
- Digital Communication Handling
- Manage internal communication through chat platforms, email, and scheduled meetings
- Track action items and ensure timely follow-up
- Maintain clear documentation of decisions, follow-ups, and task ownership
- Administrative & Data Entry Support
- Maintain accurate data entry and digital filing
- Monitor and update records related to lead status, appointments, and performance tracking
- Assist in identifying discrepancies and support resolution with appropriate teams
- Operational Oversight & Compliance Monitoring
- Review daily production from sales and telemarketing departments
- Ensure correct lead flow, appointment categorization, and compliance with company processes
- Flag irregularities and support troubleshooting efforts with team leads
- Time and Task Management
- Prioritize daily tasks effectively to support team needs, reporting deadlines, and internal checklists
- Proactively track deliverables and follow-ups to maintain smooth operations
Qualifications & Skills:
- Bilingual fluency in English and Spanish (written and spoken)
- Strong organizational and time-management skills
- Excellent verbal and written communication abilities
- Ability to multitask in a high-volume, fast-paced office setting
- Familiarity with Microsoft Office Suite (Excel, Word, Outlook) and Google Workspace
- Experience with CRMs or data tracking systems preferred
- Positive, solutions-oriented attitude with a willingness to learn
